Introduction
This document is drafted in accordance with the existing Rules adopted following a resolution of the Society's Board, and reflecting the Best Practice Guidance issued by the Football Supporters' Association (FSA).
This policy applies to all Nottingham Forest Supporters' Trust Board Members and is in place to protect the interests and reputation of the Nottingham Forest Supporters' Trust ('the Trust').
Scope
This policy applies to all forms of online communication, including but not limited to social networking sites (e.g. X/Twitter, Facebook, Instagram, LinkedIn), messaging platforms (e.g. WhatsApp, Messenger), blogs, podcasts, and comments made in online forums, when representing or referring to the Trust.
Admin Access & Content Governance
Access to official Trust social media accounts will be restricted to designated administrators approved by the Board. These individuals will have authority to post content on behalf of the Trust.
Any planned statements on behalf of the Trust must be agreed by at least two Board Members (usually the Chair and Communications Officer) before publication. This does not apply to routine updates, reposts, or other non-controversial content.
Passwords for official accounts must be stored securely and updated when administrators change.
Safeguarding & Discrimination
Discriminatory, harassing, or abusive behaviour of any kind, including on the basis of race, gender, sexuality, disability, age, or religion, is strictly prohibited.
Board Members must also avoid sharing or endorsing content from third parties that contravenes these principles.
Legal & Regulatory Compliance
Board Members must comply with all applicable laws and regulations, including the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR), copyright law (see below), and defamation law.
Personal data of members or third parties must never be shared publicly without consent.
Use of Images & Media
- Only use original images created by the Trust, or images that are clearly free of copyright (e.g. released under a suitable Creative Commons licence) or used with written permission from the copyright holder.
- Do not use or share copyrighted material, including photographs, graphics, or video, unless the Trust has obtained appropriate permission or licensing.
- When sharing images or videos featuring individuals, ensure their consent has been obtained where appropriate, especially for identifiable members, children, or vulnerable adults.
- All media used in Trust communications should reflect the Trust's inclusive values and the diversity of Nottingham Forest's supporter base.
- Crediting photographers or content creators is best practice and should be done wherever possible.
Crisis & Media Protocol
In the event of a contentious issue or media inquiry, only the Chair or a nominated (by the Chair or the Board) spokesperson may issue a public response on behalf of the Trust.
Board Members should avoid commenting publicly on live disputes or disciplinary matters involving the Trust, its members, or the Club.
General Guidelines for Board Members
Do not divulge information which is confidential to the Trust, its members, or suppliers.
No derogatory language should be used towards:
- Any player, member of coaching staff or other person associated with the Club.
- Any member of the Trust.
- Any person online commenting on the Club or the Trust.
- Any member of the wider football community, including match officials, other clubs, leagues, or associations.
The Trust has a public profile and is subject to scrutiny by the media and public. All Board Members must ensure they do not use social media in a way that could damage the reputation of the Trust or its partners.
Privacy, reputation, and the feelings of others must be always respected. Obtain the permission of other Board Members before posting their contact details or photos.
Take care to avoid using language that could be deemed offensive. One way of approaching this is to consider how what you are saying would be viewed if it was broadcast as an interview with you.
Board Members may have access to confidential information relating to the Club's affairs. Such information MUST be treated sensitively and must not be discussed publicly.
Personal social media accounts should not be used for Trust business. Reposting official Trust content to widen publicity is acceptable.
If personal accounts are likely to be used to comment on official Trust activity, biographies should state that "the views expressed are personal and not those of Nottingham Forest Supporters' Trust."
The official Trust accounts should block anyone sending abusive, discriminatory, or deliberately provocative messages. Such incidents should be reported to the relevant platform and, where necessary, to the Chair or Communications Officer.
Anyone publishing content on the Trust's behalf must take care to keep personal and Trust accounts separate, ensuring they are aware of which account they are using before posting any material.
Reporting & Handling Breaches
Any member who becomes aware of a potential breach of this policy should report it confidentially to the Chair or Secretary.
The Board will review alleged breaches under the Code of Conduct and may suspend access to social media accounts pending investigation.
The outcome of any investigation will be reported to the Board, and any disciplinary action will follow the procedures set out in the Trust's Code of Conduct.
